Who this is for

Transport and logistics operators, delivery networks, rental and leasing companies, and any business with enough vehicles that a spreadsheet has stopped being the truth. Usually the trigger is one of three things: a client asking for reports you cannot produce, per-vehicle subscription fees that have quietly grown, or the discovery that nobody knows what a particular vehicle costs to run.

The part most fleet software gets wrong

Knowing where a vehicle is turns out to be the cheap, solved half of the problem. A dozen products do it well for a few hundred rupees a month.

The expensive half is everything the map does not show: whether the permit expires next week, whether that fuel entry matches the distance the vehicle actually covered, which route loses money every time you run it, and which driver's trips end in damage claims.

We say buy more often than an agency is supposed to. If a product covers your operation, the subscription costs less than the engineering you would spend replacing it, and we will tell you so on the first call.

Working with the hardware you already have

Almost every fleet arrives with devices already fitted, from more than one vendor, bought at different times. That is normal and it is not a problem.

Most trackers push position and telemetry to a server over TCP using a small number of documented protocols, and many vendors expose an API on top. We read from what you have, normalise it into one shape, and keep the map and reports honest across mixed hardware. If some vehicles have no device at all, the driver app can cover them until they do.

The compliance India adds

Fleet software built for another market misses the paperwork that actually causes trouble here:

  • Vehicle documents with real deadlines. Insurance, PUC, fitness certificate and national or state permits, each with its own expiry and its own cost when it lapses at a checkpoint.
  • Driver licence and badge validity, tracked per driver rather than remembered by a supervisor.
  • AIS-140 devices, which commercial and public transport vehicles are required to run, and whose data feed is what everything else is built on.
  • FASTag and tolls, reconciled against trips so a toll lands on the job that incurred it instead of a monthly lump nobody can allocate.
  • E-way bills for goods movements above the GST threshold, captured or generated with the trip depending on how your billing runs.

Frequently asked questions

Common questions about fleet management software.

How much does fleet management software cost in India?

An off-the-shelf tracking subscription runs a few hundred rupees per vehicle per month. A custom platform is a project: typically 12 to 35 lakh depending on the modules, the driver app and the integrations. Custom makes sense when your operation has rules no product supports, or when per-vehicle fees have grown past what a build would cost.

Should we buy an off-the-shelf fleet product or build our own?

Buy if you mainly need tracking and basic reports; the products are good and cheap. Build when your dispatch rules, contracts, billing or client reporting are specific to you, when you need it joined to your accounting or ERP, or when a growing fleet makes per-vehicle pricing the largest line in your software budget.

Does it work with the GPS trackers we already have?

In most cases yes. Common trackers push their data over TCP in a handful of well-documented protocols, and many vendors also offer an API. We read from the devices you already paid for rather than asking you to rip them out, and we can support more than one device type in the same fleet.

Do you support AIS-140 devices?

Yes. AIS-140 units are what commercial and public transport vehicles are required to run in India, and the data they emit is what the tracking, trip history and driver behaviour features are built on. If you are still fitting devices, we will tell you what to look for before you buy.

Can it handle document renewals, FASTag and e-way bills?

Yes. Insurance, permit, PUC, fitness and licence expiry dates are tracked with reminders that start well before the date. FASTag and toll data can be reconciled against trips so tolls land on the right job, and e-way bill details can be captured or generated as part of the trip depending on how your billing works.

How long does it take to build?

A first usable version with tracking, trips, drivers and documents takes about 10 to 12 weeks. Dispatch, the driver app, cost reporting and integrations extend that to 16 to 20. We put it in front of your operations team in week six rather than at the end, because they will find things no specification did.

Do drivers need to use an app?

Only if you want proof of delivery, expense capture or trip sheets from them. Tracking works from the device in the vehicle without a driver doing anything. When there is a driver app, we design it for a mid-range Android phone on a weak connection, with the screens usable in one hand at a loading bay.

Can we start small and add vehicles later?

Yes, and it is the sensible way to do it. Start with one depot or one route type, get the operations team using it daily, then expand. The cost of the software does not change with the number of vehicles, which is exactly why growing fleets outgrow per-vehicle subscriptions.
